Adding a Vehicle ID to Enable ELD Tracking for FTL Bookings and Tracking Shipments
Audience: Carriers using Movement via portal or email booking
Overview
When you assign a truck and driver to a booked shipment, Movement needs a Vehicle ID to connect to your electronic logging device (ELD) provider and pull real-time location updates for the shipper. If no Vehicle ID is added, the shipper receives no tracking visibility for that load.
You can update the Vehicle ID at any time. If the truck changes after initial assignment, use any of the three paths in this article to update the field.
Before you begin
You'll need the following before adding a Vehicle ID:
- An accepted booking in Movement
- The Vehicle ID exactly as it's registered with your ELD provider (case and format must match)
- Your carrier credentials for
movement.project44.com
Choose your path
Movement gives you three ways to add or update a Vehicle ID. All three update the same underlying record.
| Path | Best when you… |
|---|---|
| A: TMS Bookings tab | Are logged into Movement and managing Vehicle IDs across multiple bookings |
| B: Visibility Shipments | Are already in the Visibility module reviewing tracking status |
| C: Booking request email | Received a new booking email and want to accept and assign a Vehicle ID in one step |
Path A: Add a Vehicle ID from the TMS Bookings tab
Use this path when you're logged into Movement and want to manage Vehicle IDs across your bookings list.
- Go to
https://movement.project44.comand log in with your carrier credentials. - Select the menu icon in the top-left corner to expand the left sidebar.
- Expand TMS in the sidebar, then select Rating and Booking.
- Select the Bookings tab. The tab displays all bookings sent to your organization by shippers.
- Find the shipment you assigned a driver and truck to, then select it to open the record.
- Enter the Vehicle ID in the field provided. The value must match exactly what is registered with your ELD provider.
- Select Update Identifiers to save.

Optional fields: The trailer license plate and driver cell phone fields appear in the same section. Adding the driver's cell phone number enables SMS-based tracking as a fallback if ELD tracking is unavailable.
Path B: Add a Vehicle ID from Visibility Shipments
Once a booking is accepted, Movement automatically creates a visibility shipment record. Use this path if you're already in the Visibility module.
- Go to
https://movement.project44.comand log in with your carrier credentials. - Expand the sidebar and select Visibility, then select Shipments.
- Locate the shipment by bill of lading (BOL) number or shipper name, then select it to open the record.
- On the shipment detail page, select the > arrow next to the carrier name to open the Carrier details panel.
- In the Shipment tracking configuration panel, select the pencil icon next to the Vehicle ID field.
- Enter the correct Vehicle ID, then save.

Note: This path displays the same Vehicle ID as Path A. Both paths update the same record.
Path C: Add a Vehicle ID from the booking request email
Carriers configured for email-based booking receive a booking request email. This path lets you accept the booking and add a Vehicle ID without logging into the portal first.
Identify the booking request email
Booking request emails arrive with the following details:
-
Sender:
no-reply@invitations.project44.com -
Subject format:
[Customer Name] Booking Request: [ORIGIN] to [DESTINATION] - [BOL Number]
Example subject line:
TEST Company Booking Request: FOREST CITY to JEFFERSONVILLE - SLTAC-TEST-ACCEPT1
Add the Vehicle ID via email
- Open the booking request email and confirm the load details: route, dates, rate, BOL number, and equipment type.
- Select Review Booking. The booking acceptance page opens in Movement.
- If you haven't accepted the booking yet, accept it. The Equipment Identifiers section becomes available after acceptance.
- Enter the Vehicle ID in the Equipment Identifiers section. You can also enter the trailer license plate and driver cell phone number at this stage.
- Select Update Identifiers to save.
[The booking acceptance page opened via the Review Booking email link, showing the Equipment Identifiers section with the Vehicle ID field filled in and the Update Identifiers button.]
Note: The Review Booking link opens the same booking detail page as Path A. After the initial acceptance and Vehicle ID entry, use Path A or Path B for any future updates.
Troubleshoot common issues
If you run into problems after adding a Vehicle ID, the following resolutions cover the most common scenarios.
| Issue | Resolution |
|---|---|
| Tracking updates not reaching the shipper | Confirm the Vehicle ID was saved successfully. Verify it matches exactly what is registered with your ELD provider. Case and format must match. |
| Vehicle ID field is empty | The field wasn't populated after booking acceptance. Enter the correct Vehicle ID and select Update Identifiers. |
| Truck changed after initial assignment | Use Path A, B, or C to update the Vehicle ID. Remove any incorrect Vehicle IDs. |
| Shipment not found in Visibility | Wait a few minutes after booking acceptance for the visibility record to be created. If it's still missing, contact your project44 support team. |
| Email booking link is expired or not working | Booking offer expiration dates are shown in the booking request email. If the offer has expired, contact the shipper to reissue it. If the link fails before the expiration date, contact project44 support. |
FAQs
General questions
Q: What is a Vehicle ID and why do I need to add one?
Answer: A Vehicle ID is the identifier project44 uses to connect to your ELD provider and pull real-time location updates for a booked shipment. Without it, the shipper receives no tracking visibility for that load.
Q: What happens if I don't add a Vehicle ID after accepting a booking?
Answer: The shipper receives no tracking updates for the shipment. The Vehicle ID field remains empty until you populate it, so tracking can't start until you enter the correct value and select Update Identifiers.
Q: Can I update the Vehicle ID after I've already entered one?
Answer: Yes. You can update the Vehicle ID at any time. If the truck changes after initial assignment, return to whichever path you used originally (TMS Bookings tab, Visibility Shipments, or the booking request email link) and enter the correct Vehicle ID.
Q: Does it matter which method I use to add or update the Vehicle ID?
Answer: No. All three paths update the same underlying record. Use whichever path fits your current workflow:
- Use the TMS Bookings tab if you're already in Movement managing multiple bookings.
- Use Visibility > Shipments if you're reviewing tracking status in the Visibility module.
- Use the booking request email link if you received a new booking email and want to accept the booking and add the Vehicle ID in one step.
Q: Are there any other identifiers I can add alongside the Vehicle ID?
Answer: Yes. The Equipment Identifiers section also includes optional fields for trailer license plate and driver cell phone number. Adding the driver's cell phone number enables SMS-based tracking as a fallback if ELD tracking is unavailable.

Troubleshooting
Q: I entered a Vehicle ID but the shipper still isn't receiving tracking updates. What do I do?
Answer: The Vehicle ID must match exactly what is registered with your ELD provider, including case and format. To check:
- Confirm the Vehicle ID was saved by returning to the booking record and verifying the field isn't empty.
- Compare the saved value character by character against the Vehicle ID registered with your ELD provider.
- If the values don't match, select the edit control for the Vehicle ID field, correct the value, and select Update Identifiers.
If tracking updates still don't reach the shipper after correcting the Vehicle ID, contact your project44 Network or TMS team.
Q: The Vehicle ID field is empty even though I accepted the booking. What should I do?
Answer: The Vehicle ID field isn't populated automatically at booking acceptance. You must enter it manually. Open the booking record using the TMS Bookings tab or the Visibility module, enter the correct Vehicle ID in the Equipment Identifiers section, and select Update Identifiers.
Q: The truck assigned to a load changed. How do I update the Vehicle ID?
Answer: You can update the Vehicle ID at any time. Open the booking record using the TMS Bookings tab or the Visibility module, enter the new Vehicle ID, and select Update Identifiers. Remove any incorrect Vehicle IDs to avoid tracking errors.
Q: I can't find the shipment in the Visibility module after accepting the booking. What's wrong?
Answer: After booking acceptance, project44 takes a few minutes to create the visibility shipment record. Wait a few minutes and refresh the Shipments list. If the shipment still doesn't appear, contact your project44 support team.
Q: The booking email link is expired or not working. What should I do?
Answer: The resolution depends on the specific situation:
- If the booking offer has expired, the expiration date is shown in the original email. Contact the shipper and ask them to reissue the booking offer.
- If the link fails before the expiration date, contact project44 support for assistance.
For integration support, contact your project44 Network or TMS team.
